Accounting Software Compared: QuickBooks vs Xero vs Free Alternatives
Accounting software is easy to pick badly. Plans change, free tiers shrink, and a tool that fits a freelancer in Texas can fall short for a company invoicing in Riyadh. In the past year QuickBooks and Xero both raised prices, and Wave cut back what its free plan includes.
This guide compares QuickBooks Online, Xero, Wave and Zoho Books on current pricing, real limits and who each one suits. It also covers what matters if you run a business in the Gulf. Prices were checked in October 2026 and are noted with their source and date below.
Quick verdict
- Best all-rounder for US-style bookkeeping: QuickBooks Online, if you can accept the price and need accountant support and integrations.
- Best for growing teams that want a cleaner interface: Xero, especially outside the Gulf.
- Best free option for a solo freelancer: Wave Starter for invoicing; Zoho Books Free if your revenue is under $50,000 a year.
- Best for Saudi Arabia: Zoho Books has a documented ZATCA Phase 2 e-invoicing route. QuickBooks and Xero need extra workarounds.
What to decide before you compare
Four questions narrow the field faster than any feature list:
- Where is your business registered? Tax rules, e-invoicing and plan names differ by country.
- How many people need access? That includes your bookkeeper and accountant.
- Do you connect a bank account? Automatic bank feeds are the first thing many free plans remove.
- Will you hire staff soon? Payroll is rarely included in free software.
QuickBooks Online: strong ecosystem, rising price
QuickBooks Online is priced per company file, not per user. As of October 2026, US list prices were $38 a month for Simple Start (1 user), $85 for Essentials (3 users), $140 for Plus (5 users) and $340 for Advanced (25 users). Intuit raised Essentials, Plus and Advanced prices for renewals from August 1, 2026.
Intuit has also added a free plan. It allows one user and one bank connection, and it caps invoicing at two a month unless you turn on QuickBooks Payments. It limits reports to the top three, has no mobile app and no third-party integrations, and does not give your accountant access.
What it does well: a large network of accountants who already know it, a wide range of integrations, and a clear upgrade path from Simple Start to Advanced.
Where it falls short: repeated price increases, extra costs for payroll and payments, and a free plan too limited to run a real business on. Card payments through QuickBooks Payments cost 2.99% on invoices; bank (ACH) payments cost 1%.
Xero: clean design, limits on the entry plan
Xero names its plans differently by country, so check which set you will see. In the US the plans are Early, Growing and Established. From October 1, 2026 they cost $27, $59 and $97 a month. The Early plan allows 20 invoices and 5 bills a month. In other markets Xero lists Starter, Standard and Premium, with USD prices of $29, $50 and $75 rising to $32, $54 and $82 from November 1, 2026. Xero has also said it is removing its multi-organisation discount from that date.
What it does well: a clear interface, billing by month with no long contract, and a large app marketplace.
Where it falls short: the entry plan's invoice and bill caps push many small businesses to upgrade quickly. For Gulf users, the gap is compliance (see the Gulf section below).
Free alternatives: what you really get
"Free" means different things here. Two mainstream tools offer a genuine ongoing free plan with real limits, and both have changed recently.
Wave
Wave Starter costs $0 and allows unlimited invoices, but only for the owner. Automatic bank connections now require Wave Pro, which costs $19 a month or $190 a year. On June 1, 2026, Wave moved free legacy accounts that did not use its payments or payroll onto Starter, and those accounts lost their bank connections. If you rely on bank feeds, Wave is no longer free in practice.
Zoho Books Free
Zoho Books Free costs $0 while your annual revenue stays at or under $50,000. It includes one user plus one accountant, up to 1,000 invoices and 1,000 expenses a year, and 50 receipt scans a month. Bank feeds start on the Standard plan, which costs $20 a month ($15 billed annually). The free plan supports bank reconciliation but not automatic imports.

If your business is in the Gulf
This is where the tools differ most. Saudi Arabia requires e-invoices that integrate with ZATCA's Fatoora platform, and the UAE is moving to mandatory e-invoicing through the Federal Tax Authority. Check current deadlines with the authorities, because they apply in stages.
- Zoho Books says it is an approved ZATCA Phase 2 solution. It supports Arabic and bilingual invoices, and it states that Saudi users' data is stored in local data centers. E-invoicing is available from the Standard plan, so the free plan will not cover it. Zoho also announced it is an FTA-accredited digital tax integrator in the UAE; confirm this on Zoho's own UAE page before relying on it.
- QuickBooks Online worked in Saudi Arabia only through manual tax setup, according to Intuit's community staff in 2024. They said it had no direct integration with the UAE tax authority, and an earlier reply said a Saudi e-invoice template was not available. Check with Intuit whether that has changed.
- Xero does not natively support ZATCA e-invoicing. Users meet the requirement through third-party apps from its marketplace. A Xero representative has said UAE e-invoicing support is in development, with no confirmed date in the source I found.
Regional products such as Wafeq and Qoyod are built around local compliance and are worth a look if Arabic-first invoicing matters more than a global ecosystem. They sit outside this comparison, and vendor pages comparing themselves to rivals are marketing, so test them yourself.
Which one should you choose?
| Your situation | Likely best fit |
|---|---|
| Freelancer, few invoices, no bank sync needed | Wave Starter |
| Micro business under $50,000 revenue that wants an accountant seat | Zoho Books Free |
| Small US team with an outside accountant | QuickBooks Online Simple Start or Essentials |
| Growing business that values a simple interface | Xero Growing or Standard |
| Business invoicing in Saudi Arabia | Zoho Books Standard or a regional product |
Common mistakes when choosing
- Judging by the promotional price. Budget from the list price, since discounts usually last a few months.
- Ignoring payroll. Free tools rarely include it, and adding payroll later can change your whole setup.
- Skipping a trial with real data. Import one month of transactions before you commit.
- Forgetting your accountant. Ask which tool they already use.
Frequently asked questions
Is QuickBooks or Xero better for a small business?
Neither wins everywhere. QuickBooks has the larger accountant network and more integrations, while Xero is often praised for its interface and monthly billing without lock-in. Pick the one your accountant supports and that fits your country's tax rules.
Is there truly free accounting software?
Yes, with limits. Wave Starter and Zoho Books Free are free on an ongoing basis, and QuickBooks now has a limited free plan. Most other "free" options are trials. Expect to pay once you need bank feeds, payroll or more than one user.
Is Wave still free?
Core accounting and unlimited invoicing remain free on Wave Starter. Bank connections, receipt capture and extra users now require Wave Pro at $19 a month.
Can I use QuickBooks or Xero in the UAE or Saudi Arabia?
You can use both, but neither fully covers local e-invoicing out of the box. Saudi businesses typically need an add-on or a different product to meet ZATCA rules. Confirm with your accountant before you commit.
Can I switch accounting software later?
Yes. Most tools import customers, vendors and opening balances from a file, though history can lose detail. Start with the tool you expect to keep for at least a year.
Next step
Shortlist two tools, start a trial for each, and run one real month of transactions through both. Before you pay, confirm the price on the vendor's checkout page, because 2026 has been a year of changes.
